BWYO Executive Session 1/10/22
Call to order 7:37 pm:  Tony, Cindy, Tara, Jeff, Wes, Silas, Aaron

Topic of Discussion:  Cheer Program
From the November meeting, the dispute between the current board members of the BWYSO Cheer Organization has led the Executive Board (EB) to investigate the overall cheer program.  Based on documents presented or lack of, it has been determined that the current board has not satisfied the requirements to be in good standing.

Therefore, the EB of BWYSO will temporarily be the interim board and facilitate the direction of the program until the following established criteria is met: bank accounts, by-laws, meeting schedule, elect new board. The new board will resume over the BWSYO Cheer program on May 1, 2022.  The EB will continue to monitor and mentor the new board to ensure proper policies and procedures are maintained per the by-laws of the BWYSO. First meeting will be 2/7/22 @6:30 pm at PJs, all welcome.

Motion for BWYSO EB to be interim board of the BWYSO Cheer Program (as stated above) by Tara Shelby, seconded by Cindy Erndt. Motion passed 4-0.

BWYSO January Meeting Minutes
January 10, 2022, call to order 8:08 pm

1. No visitors

2. Financial Report from Wes:  current account $21, 871.45. Not a lot of activity since the last two months/holiday. Overall, doing well.

3. Executive Director Report from Silas: 

   1. Wrestling and Basketball in season.  

   2. Discussion around a 5-year plan and prospective indoor facility. February board meeting will primarily focus on a timeline for us to have a substantial plan in place with the deadline of one year to start executing all aspects of this project. 

   3. Transitioning Leaders:  as many EB members as well as other BWYSO’s individual sports boards are experiencing growing pains and end of tenures; we need to be bringing more community member/volunteers/parents into the leadership arena.  We will be focusing on this in 2022 to start grooming others to fill various positions within the BWYSO as a whole. We will work with marketing and utilize DACC and/or BW Print Shop to help a campaign to recruit more volunteers starting with advertising etc.

4. Marketing Report from Jeff:  

   1. Jeff has officially resigned from this position based on the growing demands of his job at the DACC. We greatly appreciate all his efforts to get this organization established for our community.  He will still be around to help advise and advocate for the BWYSO.

   2. At February board meeting, second focus will be on volunteer recruitment.  We will review hypevideos, flyers, social media ads, Eagle Examiner ads etc, submitted by DACC students to help promote the need for more involvement. Chamber Expo is 4/28/22.
